SAFARI TOUR CANCELLATION CHARGES
Blavals Adventure has particular booking and cancellation policies determined by the fact that if a hotel, safari lodge/camp, local domestic airline, or any other service is booked on your behalf, we may incur a cancellation fee if the booking needs to be canceled.
We always try to keep these cancellation charges minimum, calculated as a percentage of the total price.
QUOTATION.
Our price quotes are denominated in United States Dollars (USD).
To generate a safari quotation, we require complete information such as dates, number of people, and activities;
- Number of pax.
- Arrival date, Expected Time of Arrival, Airline, and Airport.
- Departure date, Expected Time of Departure, Airline, and Airport.
- Age of children, if there are any.
- Nationality.
- Rooming plan & list.
- Dietary advice if there is; and any other special needs.
- Preferred locations and accommodation facilities to visit, including activities of interest.
TERMS OF PAYMENTS
- We require a 40% deposit two weeks after invoice issuance to secure your booking.
- The remaining 60% balance must be paid 30 days before the first day of service.
- All prices are quoted in U.S. dollars and must be paid in cash or via wire transfer in U.S. dollars.
- For credit card payments (Visa, Mastercard), we charge an additional 3.9% fee to cover bank charges.
- We don't impose any additional fees for wire transfers, but please ensure you cover all bank charges.
- Please note that all payments should be free from bank charges.
TERMS OF CANCELLATION.
Cancellation Policy for Reservations.
A cancellation fee will be applied when a reservation is canceled, shortened, or reduced.
For the cancellation to be effective, it must be in writing, and its receipt and acknowledgment must be confirmed.
The following are the cancellation fees applicable to canceled bookings:
Safari invoice cancellation charges for East Africa Safari packages.
- If you cancel your safari reservation 60 days before the commencement of the safari, you won't be charged any cancellation fees.
- If you cancel your safari 35 days or more before it starts, you will be charged a cancellation fee of 20%.
- If you cancel your safari booking 15 days or more before its scheduled start date, you will be charged a cancellation fee of 40% of the total booking cost.
- Cancellation charges will be 60% for cancellations between three and 15 days before the safari start date.
- Cancellation within three days of the safari start date results in 100% cancellation charges and no refund.
- Refunds for canceled safaris will be credited only to the original credit/debit card used for payment. The refund must be claimed within six months of the payment date.
In case of cancellation, a 5% administrative fee will be charged to cover transaction costs.
Please note that there will be no refunds for the following:
- Amended itinerary after departure.
- Unused portions of the tour.
- Lost travel time or substitution of facilities.
- Failure to join a tour, joining it after departure, or leaving it before completion.
We highly recommend obtaining trip and cancellation insurance to ensure peace of mind.
In the case of death or illness, special cancellation terms can be negotiated if Blavals Adventure Ltd has a copy of an officially approved death/sick certificate.
In the unlikely event that Blavals Adventure Ltd. has to cancel a tour or service for any reason, we will try to offer the choice of an alternative arrangement, or you will receive a full refund.
Blavals Adventure Ltd will do its utmost to inform you about any cancellations as soon as possible and, at the latest, 14 days before the commencement of our services.
PAYMENT TERMS:
- We offer one-day safari/tours with a zero deposit per person.
- A 20% deposit per person is required for 2-3 day safari/tours.
- To confirm your booking for a 4-6 day safari/tour, please note that a deposit of 30% per person is required.
- A 40% deposit per person is required to book 7- to 12-day safari tours.
- A 50% deposit per person is required for combined Kenya/Tanzania safari tours.
Balance is due within 6-1 day before the t 1 day before the start of your safari. We prefer payment by credit card online for both the deposit and final balance.
Payments from overseas must be made in USD unless a prior agreement has been reached for payments in other convertible currencies based on current exchange rates.
PAYMENT BY CREDIT/DEBIT CARDS:
We kindly request our esteemed visitors and clients to refrain from cash transactions on our platform. For your convenience and security, we recommend payment by credit card online (Visa, Amex, or Mastercard) through our secure online payment system.
Upon booking confirmation, your sales consultant or tour manager will send you the invoice via email. Subsequently, you will receive an email from Blavals Adventure with a link that directs you to our secure online payment system. Here, you can furnish your details and finalize your payment. We do not levy any transaction fee to pay the deposit by debit or credit card.
If you pay the full invoice at once by credit card, you will not incur any transaction fee. However, your credit card company may charge its handling fee for processing a payment outside your home country.
If you pay the final balance by credit card, there will be no extra transaction fee. You can also pay via a debit card like a credit card, and no transaction fee will be charged in this scenario.
CHANGES:
Blavals Adventure Ltd reserves the right to change brochure and website details and arrangements before and after the booking.
Most changes will be minor, but Blavals Adventure Ltd. has to make significant changes; you will be notified immediately. In such cases, you will have the opportunity to accept the changes or to receive a full refund.
Some service prices, such as (but not limited to) park fees, government levies, and airport taxes, are not in the control of Blavals Adventure Ltd. Blavals Adventure Ltd will charge the supplement to the client at cost if these prices are changed at any date.
The operator will suggest a comparable alternative if the accommodation is fully booked.
FORCE MAJEURE:
Force Majeure means those circumstances where the performance of our contract with you is prevented or affected by reasons of war, the threat of war, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, government actions, and all similar events beyond our control.
In these circumstances, Blavals Adventure Ltd shall not be liable for compensation or otherwise responsible for any expenses or losses the client might incur.
THINGS TO NOTE:
Should a problem occur, please advise both Blavals Adventure Ltd and the service supplier in question immediately, as most problems can be solved on the spot. Should you remain dissatisfied, please write to us to describe the complaint within 28 days of the end of our services under the contract.
If you face any issues during your safari tour with us, please immediately inform your tour planning manager via email or WhatsApp, the lodge camp manager in case of accommodation-related problems, and your tour driver/guide.
This will help us rectify the issue immediately and ensure your safari experience remains pleasant. If the problem cannot be resolved directly, please send us the complaint details in writing within 20 days of your return from the tour.
Please note that this contract is a mandatory condition that you communicate any problem to the concerned authority while on the tour. Failing to do so will release us from any responsibility, as we will not have the opportunity to investigate and rectify the problem on-site.
1. Seasonal Factors and Resort Facilities:
Some tourist facilities may not operate during the early or late season, and swimming pools may be closed for cleaning or maintenance work. Additionally, public holidays and religious festivals, especially Ramadan, may affect the ambiance of a destination and the availability of specific amenities.
2. Wild Animals:
While on a safari in Africa, you may come in close contact with wild animals. Although attacks by wild animals are rare, there is no guarantee that they won't occur. Please be aware that many safari camps are unfenced, and animals can wander through at any time.
Neither Blavals Adventure Kenya Safaris, its employees, nor its suppliers can be held responsible for any injury or incident on the safari.
3. Travel Insurance:
Each member of your party must have comprehensive travel insurance covering cancellation or curtailment, medical expenses, emergency travel, personal accident, personal baggage, and money loss. Please arrange this at the time of booking, as it is your responsibility to obtain insurance. Blavals Adventure Kenya Safaris Ltd cannot be held liable if you fail.
If you are traveling to East Africa from overseas, please provide us with your insurance provider's name, policy number, and the insurance company's emergency contact telephone number in case of any emergency while traveling.
4. Issues/Complaints on Safari:
We make every effort to ensure our guests have an exceptional safari experience. However, in case of any complaints or dissatisfaction, we request that you kindly inform your Tour Manager/Consultant immediately.
This can be done by contacting our Guest Relations team via email or WhatsApp. Your concerns will be attended to on-site and resolved promptly. We believe your feedback is valuable to us in our quest to improve our services continually.
Suppose any issues or complaints were not addressed on-location during your safari tour. In that case, it is important to communicate them to the company in writing within 30 days of the completion of the tour. This will ensure that the company can take the necessary action.
If you do raise any complaints or issues, they will be investigated and addressed within 30 days of the company receiving a formal complaint. Any genuine compensations or required settlements will be made within 30 days of the company receiving the official complaint.
ADDITIONAL INFORMATION:
Please be aware that while traveling to Kenya, all passport holders must have three or more completely blank (unstamped) visa pages in their passports, and when traveling to Tanzania, they must have four or more such pages.
Passengers traveling from Kenya to Tanzania must carry proof of yellow fever vaccination.
Passengers should select flights on departure day from Nairobi that depart no earlier than 7 p.m.
Due to limited space in safari vehicles, please pack your belongings in a soft-sided duffel bag. Conventional luggage bags with rigid frames or hard plastic panels are not recommended.
ENTRY REQUIREMENTS:
Passengers traveling abroad require a passport valid for six months beyond their travel dates. It is the responsibility of every traveler to determine whether a visa is needed for every destination on their itinerary.
RESPONSIBILITY:
Please be advised of the following information regarding your safari adventure travel in Africa:
We want to bring to your attention that traveling in underdeveloped areas where road conditions and other facilities may be poor or lacking, weather conditions, and the forces of nature, as well as the risk of accidents or illnesses in remote regions without means of rapid evacuation, are inherent risks of this type of travel.
When booking with Blavals Adventure Kenya Safaris Ltd, we kindly request that you acknowledge that the company and its team of independent overseas Safari Consultants act only as agents of the passenger in all matters relating to hotels, sightseeing tours, restaurants, all forms of transportation, and other services which may be included in these tours.
Blavals Adventure Kenya Safaris Ltd may purchase these services from suppliers and other independent contractors without warranties and representations, and therefore, such services are not subject to its control.
Blavals Adventure Kenya Safaris Ltd reserves the right to substitute hotels of comparable status and to make any changes in the itinerary deemed necessary or caused by adverse road or weather conditions, disruptions to airline schedules, or any other valid reason.
Although Blavals Adventure Kenya Safaris Ltd takes all necessary precautions to ensure passenger safety and enjoyment on these tours, the company, its agents, and suppliers shall not be liable for any death, injury, delay, loss, or damage arising from any cause and in any manner whatsoever or change of itinerary or act.
These causes may include any acts of terrorism, acts of God and government, neglect, accident, error, or omission caused by any of these suppliers or independent contractors, their employees, representatives, or any event beyond the control of Blavals Adventure Kenya Safaris Ltd.
Please be aware that all baggage is carried at the passenger’s risk, and Blavals Adventure Kenya Safaris Ltd reserves the right to exclude particular baggage at its discretion.
Kindly note that the airlines that provide flights within Kenya are subject to international air conventions limiting their liability. The limitations of liability are contained on the reverse side of the airline ticket and form part of the terms and conditions of this package.
SAFARI TRANSPORT:
It is important to note that the vehicles utilized for safari transport on the rugged roads of East Africa differ from those used on highways in developed countries. Typically, these vehicles lack air conditioning, with the standard ventilation fan being the only available option.
For overland road safaris on the main highways outside the parks, the Safari 4x4 Land Cruisers are the preferred option due to their standardized design and sliding passenger windows.
Visitors on fly-in packages may enjoy open-sided safari viewing vehicles within the game reserves and conservancies.
ELECTRICITY:
It is worth noting that most safari lodges in Kenya, which rely on generators for electricity, switch off their power supply from late at night until early the following morning.
The standard voltage in Kenya is 240, and the frequency is 50 Hz. The British three rectangular blade plugs are the stock option. It is essential to bear in mind that the availability of electricity in some lodges and camps may be limited to specific times during the day, such as early morning and evening hours.
If you need to recharge batteries during the day, it is prudent to consult with the camp manager beforehand. A 'Traveler's Adaptor Set' is highly recommended since the sockets may vary. It is also important to note that voltage fluctuations can occur, and although power cuts are rare, they are not unheard of.
Consequently, carrying a torch can be beneficial.
WATER:
As a precaution, we would like to inform you that the water from the bathroom faucets is unsafe for consumption. We have arranged for bottled water to be provided for drinking and brushing your teeth to ensure your well-being.
ROADS:
Please be advised that the connecting roads between the parks may present uneven terrain, and the duration of overland journeys may be extended. This is because the tour vehicles are restricted to a maximum speed of 80 KM per hour.
In cases where overland transfers are considerably lengthy, you may wish to consider local flights as an additional option to travel between national parks or game reserves.
LAW AND JURISDICTION:
All provisions and clauses outlined in this agreement shall be subject to the laws of Kenya and interpreted following them. Any disputes arising between the parties will be resolved through arbitration in the courts located in Kenya.
